Manage sales orders

Sales orders represent confirmed demand from your customers. In Growmax ARC you create orders directly or convert them from quotes, confirm them, decide which warehouse each line ships from, ship partially or in full, and invoice — all from the Sales Orders area.

Before you start

Create a sales order

  1. Go to Sales > Sales Orders.
  2. Create a new order directly, or convert one from an accepted quote.
  3. Add or review the customer and order lines.
  4. Confirm the order to commit it for fulfilment.

Allocate order lines to warehouses

  1. Open the confirmed order.
  2. Use the per-line allocation panel to choose which warehouse each order line is fulfilled from. This reserves the stock for the order.

Ship an order

  1. Open the order and open the ship dialog.
  2. Ship the order partially or in full — ideal for split deliveries and backorders. Stock levels update as goods go out.

Communicate with the customer

  • Tracked customer email — email the order to the customer with open and click counts, so you know it has been seen. As with quotes, customer replies appear in the email thread on the order, and you can reply back from the same thread.
  • PDF — generate an order PDF for sharing or printing.

Other order actions

From Sales > Sales Orders, you can also:

  • Duplicate an order to quickly create a similar one.
  • Cancel an order.
  • Invoice the order — invoicing opens a pre-filled invoice screen with the order's details already in place. See Invoice your customers.

A confirmed sales order: each line shows what is ordered, allocated and still to ship.

Tips

  • Convert from quotes rather than rekeying — conversion carries the accepted quote's details into the order and is how a quote is counted as won.
  • Allocate before you ship: the allocation panel is what commits stock from the right warehouse to each line.
  • Use partial shipping to keep customers supplied when part of the order is ready and part is on backorder.
