Manage debit notes
Debit notes record amounts your suppliers owe you back — for example, for returned or damaged goods. In Growmax ARC you can issue a debit note, email it to the supplier, generate a PDF, and apply it against open purchase invoices to reduce what you pay.
Before you start
- If the debit note relates to a delivery, record the rejected or damaged quantities on the goods receipt note first. See Receive goods with a goods receipt note.
- To offset the debit note against what you owe, the supplier must have open purchase invoices. See Manage purchase invoices.
Create a debit note
- Go to Purchase > Debit Notes.
- Create a new debit note for the supplier and enter the amount they owe you back.
- Review and save it.
Apply a debit note to open purchase invoices
- Open the debit note.
- Apply it against one or more of the supplier's open purchase invoices.
The applied amount offsets what you owe the supplier, reducing what you pay.
A debit note raised from a purchase return, applied against the supplier's open invoice.
Email or print a debit note
- Email — send the debit note to the supplier directly.
- PDF — generate a debit note PDF to share or print.
Edit or cancel a debit note
- Go to Purchase > Debit Notes and open the debit note.
- Edit its details, or cancel it if it is no longer needed.
Tips
- Apply debit notes before recording a supplier payment, so the payment reflects the reduced amount you actually owe. See Record a supplier payment.
