Manage Minori chats, approvals, and rules

Work with Minori explains how to ask Minori for work and approve what it proposes. This article covers the day-to-day settings around that: keeping your chats tidy, choosing which low-risk drafts need your approval, undoing an import, and the rules your administrators set for the whole organization.

Before you start

  • Minori must be enabled for your plan, and you need permission to chat with it. See Work with Minori.
  • Minori only ever acts with your own permissions.

Keep your chats tidy

Open Minori and use the conversation history list. Each chat has a menu with these actions:

  • Rename Chat. Titles can be up to 120 characters. A chat with no title shows as Untitled chat.
  • Pin or Unpin. Pinned chats stay at the top of your list.
  • Archive Chat. Archived chats leave your main list. Open Archived Chats to see them, and choose Unarchive to bring one back.
  • Delete. You are asked Delete this chat? and the chat is removed after a short delay, so you can choose Undo. The proposals in a deleted chat and the record of what was applied stay in your audit trail.

Chats belong to you. Colleagues cannot see them, and you cannot see theirs.

Stop being asked about low-risk drafts

Some proposals are low risk, such as a draft quote, a new customer or a product change. You can choose not to be asked about them.

  • In one chat. When Minori asks for approval, choose Don't ask again for drafts in this chat. A chip then shows that drafts in the chat are approved without asking. Choose Ask Me Again to turn it off.
  • For all your chats. Go to Settings > Minori Memory, find Approvals, and switch on Approve Low-Risk Drafts Automatically.

Anything that sends, charges, confirms or deletes is always asked, whatever you choose. Approving still does not apply a catalog change. Apply is its own step.

Undo an import

After Minori applies a catalog import, the result card offers Undo this import. Confirm Roll back this import? and ARC reverses it.

  • It removes only what the import created. Variants that are already used on documents, or that hold stock, are switched off instead of deleted.
  • It does not undo changes the import made to existing SKUs.

Check the result card first, so you know what the import did.

Run saved and scheduled work

  • Saved prompts. Prompts your team has saved appear first as chips labelled Saved by your team. Choose one to put it in the composer, then edit and send it. You can use them here but not change them.
  • Scheduled tasks. If your organization runs scheduled Minori tasks, a Scheduled section lists them. Use Pause, Resume or Run now on each.

Organization rules for administrators

Administrators shape how Minori behaves for everyone in Settings > Minori Memory.

  • Organization Playbook. These are standing instructions to Minori, up to 12 rules of up to 200 characters each. The page shows how many you have used. Only people who can update organization settings can add, edit or delete a rule. Deleting asks Delete this rule?
  • Organization-wide supplier rules, such as the column mapping saved for one supplier's file, are shown read-only. To change one, ask Minori in a chat.

Your own memory, and the switch that stops Minori learning from your conversations, are on the same page. See Work with Minori.

Tips

  • Pin the chats you return to, and archive the rest, rather than deleting.
  • Turn on automatic approval only for drafts you review anyway. The card still shows what was proposed.
  • Write playbook rules as short, plain instructions, such as a margin floor or a naming convention.
