Purchasing
The procure-to-pay cycle: purchase orders, goods receipts, purchase invoices, supplier payments and debit notes.
Create and manage purchase ordersPurchase orders (POs) record what you are buying from your suppliers. In Growmax ARC you build a purchase order with a supplier, products, and quantities, run it through an approval step, then send it to the supplier by email or as a PDF.Receive goods with a goods receipt noteA Goods Receipt Note (GRN) records what actually arrived from a supplier. In Growmax ARC you record received, accepted, and rejected quantities per line, flag shortages and damage, and accepted quantities post into stock automatically.Manage purchase invoicesPurchase invoices record what your suppliers bill you. In Growmax ARC, you create purchase invoices against the goods receipt note (GRN) lines you have accepted — so you only ever bill for what you actually received and accepted — then approve, edit, duplicate, PDF, or delete them from the Purchase Invoices list.Record a supplier paymentRecord payments you make to suppliers and apply them to open purchase invoices. In Growmax ARC, payment against purchase invoices is always recorded through Supplier Payments — not from the invoice itself.Manage debit notesDebit notes record amounts your suppliers owe you back — for example, for returned or damaged goods. In Growmax ARC you can issue a debit note, email it to the supplier, generate a PDF, and apply it against open purchase invoices to reduce what you pay.View accounts payable outstandingThe Outstanding (AP) report is an aging view of everything you owe your suppliers. Use it to see what is due, how long it has been outstanding, and how quickly you are paying.
