Receive goods with a goods receipt note

A Goods Receipt Note (GRN) records what actually arrived from a supplier. In Growmax ARC you record received, accepted, and rejected quantities per line, flag shortages and damage, and accepted quantities post into stock automatically.

Before you start

  • To receive against an order, create the purchase order first. You can also create a GRN free-standing when there is no order. See Create and manage purchase orders.

Create a GRN

  1. Go to Purchase > Goods Receipt Notes.
  2. Create a new GRN — either from a purchase order or free-standing.
  3. For each line, record:
    • the received quantity — what physically arrived
    • the accepted quantity — what passed inspection
    • the rejected quantity — what failed inspection
  4. Flag any lines with shortage or damage inspection results.
  5. Save the GRN.

A goods receipt: per line, what was ordered, received, accepted into stock and rejected — here 12 units failed inspection.

What happens next

  • Accepted quantities post into stock automatically — no separate stock entry is needed.
  • The purchase order's receipt status advances, so you can always see what has been fully, partially, or not yet received.
  • You bill the supplier by creating a purchase invoice against the accepted GRN lines — you only pay for what you actually accepted. See Manage purchase invoices.

Tips

  • Record rejected quantities carefully: they are excluded from both stock and billing.
  • For goods you send back to the supplier, issue a debit note. See Manage debit notes.
