Buyer accounts, teams, and approvals

Your customers are not limited to a single login. Buyer organizations can bring their own staff onto your Customer Portal, manage their own delivery addresses, and enforce internal spending limits — so orders over a team member's limit go to a designated approver before they reach you.

Before you start

Invite the buyer's staff to the portal

There are two ways a buyer's team gets access:

  1. You invite them — open the customer's Customer 360 record page in the Admin Console and use Invite customer users to invite the customer's own staff to use your Customer Portal.
  2. They invite each other — buyer admins use the portal's team management to invite their own users themselves.

What buyers manage themselves

From their portal account, your customers can:

  • Manage delivery addresses — buyers maintain their own addresses.
  • Manage their team — buyer admins invite their own users.
  • View quotes and accept them online, view invoices, track orders, and submit returns requests.

How buyer-side order approvals work

Buyer organizations with internal spending limits can require approval before an order is placed:

  1. A team member checks out an order on the portal.
  2. If the order exceeds that team member's limit, it is routed to the organization's designated approver instead of being placed immediately.
  3. The approver approves or declines the order in the portal.
  4. Approved orders flow into your Admin Console as sales orders and follow the normal fulfilment cycle.

Tips

  • Approvals happen entirely on the buyer's side — your team does not need to do anything for an over-limit order to be reviewed.
  • Combine portal teams with your own customer setup: each customer's credit limit and payment terms are set per customer in the Admin Console, alongside the buyer's internal spending limits.
  • Keep signup approvals moving: the Pending Approvals tab groups waiting signups per sales representative, with a sidebar badge showing how many are waiting.
